TRIPS:
School paid residential trips and day trips
- Coordinate with teachers to organize School day and residential trips/events for students.
- Negotiate with service providers for the best services and quotations. The services include but not limit to list of participants, accommodation, transportation (travel documents, air tickets, bus, boat…), food, guide, T-Shirt/hoodies and insurance.
- Liaise with Purchasing Coordinator in booking tickets and travel documents requirements.
- Involve in finding suppliers and inspection of trips. Keep legal requirements of suppliers (Company profile, Business license, COC,..). Support risk assessment procedure.
- Process all payments which are related to the trip. In charge of all paper work: quotations, ask for approval of trip budget, contracts, liquidations, invoice, etc.
- First check of all services (bus/car, itinerary) of the trip: present to support trip’s departing and returning time.
- Make sure relating departments (Bus, Primary/Secondary Office) know about list of students absent from school for trips. Arrange nurse to go with trips and covering options.
- Attending as emergency contact between parents and students/teachers during the trip. Reply to requirements appearing during the trip.
- Communicate with trip participants and teachers to collect their feedback on the services.
- Do evaluation for each service provider and maintain their profile.
- Deal with issue relating travel insurance.
- Make annual budget for School trips and coordinate with teachers for scheduling annual trip calendar.
- Record all expenses for the trip/events. Make finance report after every trip.
Student paid residential trips (including but not limited of DOE, sport fixtures oversea and sport tournament hosted by school and subject trips (Spanish, Geography...).
- Include all requirements as in the school paid trips above.
- Support teachers in budget planning: make sure the fee charged to each student can cover all expenditures of students and relating teachers.
- Regular report on cost paid for trips. Arrange refund of left-over fees to students by the end of year.
COMMUNITY SERVICES SUPPORT:
(Report to Community Service Manager)
- To assist to identify appropriate local community service opportunities that the schools can develop as their own.
- To assist to develop links with existing charitable organisations within Vietnam.
- Meet on a regular basis with relevant teachers in order to ensure consistency and continuity between new and existing projects.
- To assist to maintain good relationships with the PTG and secure their support and involvement in projects.
- To assist to develop joint Community Service projects with schools outside of Vietnam.
- To assist to provide suitable photographs and text for marketing purposes and school publications.
- Submit a monthly Community Service report to the Principal/ Community Service Manager detailing meetings, tangible leads developed, issues and successes.
PURCHASING TASKS:

1.2 The class teacher will explain:

2. Classroom support, planning and preparation:
 Contribute ideas to planning classroom activities
 Suggest strategies to teachers that will assist students to meet learning objectives
 Develop and create teaching resources (English grammar, vocabulary, maths, etc.)
 Prepare equipment, materials and resources requested by the teacher for lessons
 Setting up for or clearing up after lessons
 Assist with marking, recording and report of tests
 Mount and put up displays of children’s work , including make titles and backgrounds for display
 Take care of routine classroom jobs (sharpening pencils for young children, checking home/school diaries, making resources, etc.).
 Looking after classroom resources – keeping resources organised and tidy
 Completing general support tasks such as filling, labeling, making resources etc.
 Collect and deliver photocopying
 Take photos for special events in the department/class
3. Supervision and monitoring students:
 Understand and adhere to the schools ‘Good Behaviour Policy
 Supervise children moving around the school to work areas outside the classroom (specialist lessons - PE, swimming, music, EAL, VS, LS, library, clubs)
 Supervise children during break and lunch time as per the established rota
 Supervising groups of children in other areas of the school, e.g. library, hall, etc.
 Control the class in the absence of the teacher
 Cover for the teacher for short periods as necessary
 Escort sick children to the school nurse
 Assist the teacher with the supervision of children on trips
 Act as a bus escort if requested by the Principal or Head of Section
4. Other Duties:
 Present a professional and welcoming image in the classroom and around the school
 Participate in relevant training being provided in the school programme
 Be involved in performance management process aimed at improving performance in the role
 Attend staff meetings, and other school events as deemed appropriate by the Principal or Head of Section
 Liaise with, or translate for, parents as necessary to assist the teacher
 Act as a translator at Parents Evenings
 Not to get drawn into conversations with parents regarding their child’s progress
 Help create the annual School Yearbook
 Help the department plan and run events such as Reading Challenge, Short Story Competition
 Support of teaching and administrative staff at all times and in areas as requested
 Work with different section/departments as required
The teaching assistant may be asked to do additional work by the Principal or Head of Section providing that work is consistent with the normal duties of a teaching assistant.

- Monitor scheduled absences such as holidays or travel and coordinate actions to ensure the staff absence has been adequately covered off to ensure continuity of services.
- Inform affected staff or residents of unexpected absences from work and coordinate actions ensuring the continuity of services such as cancellation of events and locating keys.
